Tealfeed Individual Onboarding Guide

Welcome to Tealfeed!

We’re excited to have you on board! This guide is designed to help you set up your account step by step, so you can start creating sessions, bundles and events, share resources and engage with clients effortlessly.


Follow along to streamline your setup process and unlock the full potential of Tealfeed’s features. Let’s get started!

Start Your Free Trial

• Visit the Tealfeed website and click on the Start Free Trial button.

• Select the Service Provider option and click Continue.

• Enter your email and verify it using the OTP sent to your inbox, add your name and Sign In.

• Look for the small "Start Free Trial" CTA, and you're in!

Dashboard Overview:

• Left Panel: Manage services, availability, payments, and integrations (Google Calendar/Meet), Admin Panel

• Right Panel: Create events and access account settings.

Adding Your WhatsApp Number

Receive session reminders and notifications on WhatsApp in addition to email, here’s how:

• Open the top-right dropdown menu and select Edit Profile.

Quick details like name, expertise etc displayed for each therapist.

• In the profile settings, add your WhatsApp number.and click save changes

Setting Up Your Availability

• Go to Availability in the left panel of your dashboard.

• Use the Custom Schedules option to:

Create one or more custom schedules based on the days and time slots when you’d want to accept bookings, tailored to different services or practice modes like in-clinic or virtual sessions.

Setting Up Your Payment Information

• Go to the Admin Panel on the left panel.

• Head to the org setting, click on Connect Bank accounts

• Enter your accurate payment details, and click Confirm and Save to finalize.

Integrations

Integrate your Google Calendar and Google Meet, as it directly connects to your Google account.

Steps to Integrate:

• Navigate to Integrations in the sidebar.

• Follow the prompts to connect your Google Calendar and Google Meet directly to your account.

How to Create and Share 1-1 connect on Tealfeed

Overview

Create services on your Tealfeed profile that clients can book based on availability. Share these services easily via a link, enabling seamless bookings.

Pre-Requisites

• Ensure your availability is correctly set.

• If hosting paid sessions, set up your payment details.

Steps to Create Services

  1. Click on the Create New button > 1-1 Connect session

  1. Add the session details like name description etc:

  1. Customize the session

• Add country-based pricing, session duration (choose or create custom), and location.

  1. Add and share important policies and document links with clients

Saving and Sharing

• Click Save Changes and share the session link directly with clients by copying and sending it.

Scheduling One-Off Sessions on Tealfeed

Overview

Create and schedule sessions by collecting client details in advance.

  1. Navigate to the Calendar section >Select a time slot and customize the session.

  1. Session duration (choose or create custom), and location.

  1. Add or select a client:

• If the client already exists on your Tealfeed profile, select their name.

• If the client is new, click Add New Client and add details: Name, Email and Whatsapp

  1. Add policies > Click Create One-Off > Notifications are sent to clients via email and WhatsApp.

One-Off Sessions

Overview

Create and schedule sessions by collecting client details in advance.

  1. Navigate to the Calendar section >Select a time slot and customize the session.

  1. Add session title, duration, payment option, and location (same as we did for 1:1 Session)

  1. Add or select a client:

• If the client already exists on your Tealfeed profile, select their name.

• If the client is new, click Add New Client and add details: Name, Email and Whatsapp 

  1.  Add policies > Click Create One-Off > Notifications are sent to clients via email and WhatsApp.

Managing Recurring Sessions and Group Events

If any of your therapists conduct recurring sessions or organize webinars, you can set them up by following these steps:

• Create recurring sessions or group events through the "Event" section or "Create New" button.

• Use the Select Seller option to choose the team member for whom you want to create recurring sessions or events.

• Add details like title, description, poster (in case of workshops, webinars), duration etc.

• Set recurring frequency (e.g., weekly sessions every Friday).

• Set payment and location preferences as guided under “creating a 1:1 Session”.

• Set attendee limit, send automated invites to new/existing by choosing adding them to "notify clients' or add to "auto-confirm"

Additional Features:

Attach questionnaires to collect important client data and documents.

Customize notifications and notify clients via email/WhatsApp or share event links directly.

Creating and Managing Bundles

Overview

Bundle multiple services or sessions for long-term client management.

• Steps to Build Your Bundle:

• Go to Create New → Bundle.

• Add a title and select same or different services which you want to bundle (if you have a certain set of services which you want to add to the bundle, you'll have to first create them)

• Set pricing and bundle validity

• Add cancellation policies and questionnaires.

• Click on save changes and you’re set share the bundle link with clients or book sessions on their behalf.

Adding Notes and Sharing Resources with Clients

Steps to Add Notes/Resources:

Access Client Profiles:

  • Go to the Clients tab 

Select Add New Note, add a title, and attach files.

Interact with Clients:

Client Booking Experience for 1-on-1 Sessions

Access the session link to view details.

Review and Confirmation:

Booking Confirmation:

Booking confirmation is reflected on your and client’s dashboard and Confirmation is sent via email and WhatsApp.

Managing Session Reschedules and Cancellations

  1. View upcoming sessions on your dashboard under 1-1 connect/event.

  2. Rescheduling a Session:

    • Reschedule a Session: Click on the three-dot menu next to the session, select Reschedule, and provide a reason.

    • Reschedule a Session: Click on the three-dot menu next to the session, select Reschedule, and provide a reason.

Clients receive a rescheduled request and can:

Once the client selects a new slot, you’ll receive a booking request. Approve it to confirm the rescheduled session.

Cancelling a Session:

• Click on the three dots menu > select Cancel > Enter cancellation reason.

• Both you and the client will receive notifications.
